Activities in the Sales Process

Activities in the sales process reflect specific steps taken while working with a deal. They allow you to plan and monitor tasks and communication related to each stage of the process in detail.

What are activities?

Activities are steps directly related to actions within the sales process. They allow you to:

  • record completed tasks,

  • send emails directly from within a deal,

  • track which elements of the process have already been completed.

With activities, you always know exactly what has been done, which steps are still ahead of you, and at what stage the contact with the client currently stands.

At the moment, two types of activities are available in Livespace:

  • Tasks – e.g., a phone call with a client, an online meeting, or a reminder to prepare documents.

  • Emails – correspondence sent to a client directly from the deal.


How to add an activity?

  1. In the deal view, go to the specific step in the process.

  2. Click Add activity (the + icon).

  3. Select the activity type:

    • Task

    • Email

The activity will be automatically assigned to that step in the process.

Tasks

Tasks help you manage actions that need to be completed in order to move from one stage to the next in the sales process.

When you click Add task, a task form opens within the deal.

Tasks are visible both within the sales process (under the specific step) and in standard locations, such as the task list or the dashboard.

Marking all tasks related to an activity as completed will automatically mark the activity as done. You can complete tasks either from the task list or directly within the process step.

Keep in mind that you can add a maximum of 3 tasks to each activity.

Email

Emails allow you to communicate with the client directly in relation to a specific step in the sales process.

When you click Compose email, an email form opens within the deal.

When sending an email, you can choose whether sending it should automatically mark the activity as completed.

After sending, the email is displayed under the activity along with other activities.

Keep in mind that you can add an unlimited number of emails to an activity in the process.
Clicking on an email within the activity opens the full email thread without leaving the sales process view.


Activity logic

  • Activities (both planned and completed) are displayed directly within the specific step in the sales process.

  • A step can be automatically marked as completed when all activities associated with it have been finished.

  • Automatic marking only applies to steps that do not require additional actions (e.g., adding a note).
