Managing email templates

Email templates in Livespace CRM allow you to automatically create emails with repetitive content. They are especially useful if you often send messages with the same content.

In this article, we’ve described:


Adding an email template

If you often send messages with the same content, use templates. To add a new template:

  1. Go to Send email.

  2. Select Templates -> Browse.

3. Select the option Add new -> Email template.

4. Enter the template name.

5. Select the appropriate template visibility:

  • Private – only the author can view and modify the template.

  • Shared – choose this option if you want managers and administrators, in addition to the author, to be able to manage the template.

6. After entering the subject and content, select Save template.

For templates used when sending emails, it is also possible to use variables previously saved in custom fields.

Thanks to this feature, you can adjust the form of a first name, last name, or company name.

In the Automation package or higher, you can use the default variable First name (vocative), which automatically adjusts the client’s first name to the correct grammatical form.

It is also possible to organize and group templates by adding appropriate categories.

To create a new category, go to Templates > Browse > Add.


Managing email templates

To manage a template, go to Templates > Browse, and then select the appropriate option.

Editing an email template

This option allows you to overwrite an existing message template. To edit a template, select Templates -> Browse -> Edit.


Email template statistics

Next to the name of a template, you will find email statistics that allow you to check:

  • how many times the template has been used,

  • the percentage of recipients who read the message,

  • the percentage of recipients who clicked the link included in the template,

  • the percentage of messages that received a reply.


Templates in an email sequence

In Livespace, with the Automation package or higher, it is possible to schedule an entire sequence of automated emails to clients. When planning an email sequence, you can also use templates.

Email template in account settings

If you have administrator privileges, you can manage templates from the settings.
To do this, go to Account settings -> Email accounts -> Templates.

Here you can perform the following operations:

  • Add a new email template.

  • Edit, duplicate, and delete existing email templates.

  • Manage template categories.
