Notes are the type of entries you can find in customer profiles and the Dashboard. Using notes, you can convey important content related to your company's customers, sales, or other CRM users. You can attach various files to your notes, such as PDF documents or presentations. In this article, you will learn how to add both notes and files.

How to add a note to CRM?

You can add notes on the Dashboard and on contact, sales, and space profiles. Notes are placed alongside other entries in the central section called the board or wall.

To add a note:

  1. Tap on the note text area at the top of the board on the Dashboard or on the selected profile.

2. When pressed, the text area will be expanded with the available options. Now you can type the content of your note or use a template.

Thanks to the tools available in the editor, you can format your note using:

  • bold

  • italics

  • <u>underline</u>

  • numbered or bulleted list

  • indentation adjustment

  • font size change

  • insertion of a hyperlink (link)

  • change of font color or text highlight color

3. By using @, you can tag another user in a note who should see the entry.

4. The bottom bar contains additional options, such as:

- the option to attach a file,

- visibility settings (only for you, for you and managers, or for everyone),

- entering the publication date,

- adding a tag.

5. Once the content and settings of the note are ready, publish it.

6. The note will appear on the board.

7. If you want the note to appear at the top of the board, you can use the pin option.

Note templates

The Note Templates feature introduces a complete system for creating, managing, and applying reusable note structures to speed up note-taking and ensure consistency.
Users can open the Template Manager directly from the note composer, where they can create, edit, delete, and organize templates within a dedicated modal window. Templates can then be applied instantly while writing notes, helping users avoid repetitive manual work.

When adding notes, you can create your own template or use an existing one.
A template is saved content that can be downloaded to the note you are adding.

How do I save a template?

Create the content of your note, then go to templates in the top right corner of the form and select “Save as template”. You can also go to template management and create a new template from there.

Enter a title and save the template.

How to use an existing template?

Go to templates in the top right corner of the form and select one of the existing ones. Remember, if you enter some text and then select a template, the previously entered content will be overwritten. In this case, you can undo the changes using command+Z or CTRL+Z.

How to edit a template?

To make changes to an existing note, go to template management, find the template you want to update, and select “edit”. If you have a large number of templates, use the search engine on the right-hand side.

How do I delete an existing template?

Go to template management, then find the template you want to delete. In the top right corner, under the three dots icon, you will find the option to delete it.

Can I use a template when creating a note that is required in the process?

The feature is fully integrated with required notes in Sales Process steps—when a step requires a note and the composer opens automatically, the template dropdown is available so users can apply a predefined template without additional clicks.

Important information:

  • templates are visible to all users of the instance,

  • you can use the available formatting,

  • there are no restrictions on the use of templates,

  • there are no restrictions on the number of templates saved,

  • templates include author details and creation dates,

  • editing a template does not update its creation date.

How to add a file?

You can add a file in Livespace in two ways. The first is to drag it from the folder to the note area.

The second way is to add a file by selecting the file from the disk. Tap the text area, then the paperclip icon and select a file.

It is not necessary to enter the text of the note. After publication, the file will appear in the board entry and in the files section of the object.

Good to know:

  • You can leave a note in draft form before publishing it. When you return to the form, the text you entered earlier will be displayed.

  • You can export notes from the board to an XLS file.

  • Before a note is deleted, you will receive a message asking you to confirm this action.
