How Sales bot can help you and how to use it

Sales Bot is an add-on for Livespace that enables the automatic distribution of people, companies, deals, and / or tasks to selected users of the application saving time on the manual assignment of caregivers and reducing the response time of a salesman to a sales opportunity.

Sales Bot is available for Clients using the latest version of the Automation plan or higher. On Automation plan only one rule can be set up, and only related to Deals. In higher plans there are also available rules for Persons, Companies and Tasks.

How does it work

After the rules have been properly configured, all you need to do when adding or editing a deal / person / company / task is to set the appropriate Sales Bot in the Owner field.

After saving the changes, a new Owner will be automatically selected from among the users you can specify during rule configuration.

Activation and configuration

  1. Find Sales Bot in the list of add-ons. Go to Account Settings > Integrations and Add-ons to do so.

2. Select Sales Bot from the list, then Activate add-on.

After activating the add-on, you will see the ability to configure a new automation rule and a list of already added rules, which you can manage at any time.

To add a new rule, use the Add Rule button and configure the automation action in the selected form.

  • Rule name - the name of this bot will be displayed when setting up the maintainer.

  • Active - the button that activates the bot.

  • Selected users - a list of users among whom the bot will select an owner.

Trigger condition

  • Sales process - in the case of automation for deals, you can set the Sales Bot to run only for deals in a specific process, several, or all processes.

  • Event - set whether you want the automatic distribution of leads to assign a new owner only when you add a deal or, for example when you edit it. It is worth selecting the "List Operations" option if you want to be able to bulk assign owners from the entire list of deals/contacts/tasks.

Additional actions

  • Apply also for connected deals - individuals and / or companies. This action allows you to automatically change the owner also for linked objects. Check if you want the Sales Bot's selected owner to also be changed for, for example, the company with which the deal is linked.

Marking and notifications

  • Tag - if you want objects that have been assigned to a new owner within the rules to be tagged, enter the name of the tag.

  • Board information - a note saying that the object was assigned by Sales Bot

  • Notification for a new owner - the notification that a new owner receives about the fact that the lead has been assigned to it.

Sales Bot vs. multiple object Owners (Growth and Professional packages)

Growth and Professional packages allow you to enable the "Multiple choice of role in the object" option.

By selecting this option, a given Deal, Person, or Company can have more than one Owner.

Enabling this activates an additional option related to objects within the Sales Bot rule.


It allows you to decide whether, in a situation when in a given Deal (or other object for which the rule is activated, here we use an example where the rule is active for a Deal) the Sales Bot rule selects a given User as a Owner, then in a related object (e.g. Company):

a. another Owner will be added which, by the Sales Bot rule, has been selected for the Deal with which this Company is associated. The other Owner previously added within the associated Company will still continue to be the Owner within the Company (so now Company associated with Deal will have two Owners)

b. the user who was selected by the Sales Bot rule as the Owner of a Deal will become the only Guardian of the associated Company, and the other users will be removed from this associated Company as Owners.

Example 1

Company Called "Workshop" has one Owner. A deal has been opened for this company in a process that is covered by the Sales Bot rule.

Currently, the Owner of both the company and the sales opportunity is John Smith.

For the Deal, it was decided to add an additional Owner. This Owner will be selected within the Sales Bot's active rule, with the option to add an additional Owner for related objects (in this case, Companies) enabled within the rule. For the sales opportunity, it was decided to add an additional Guardian.


​The effect of such an action will be to add an additional Owner selected by the Sales Bot rule to the Deal, and in addition, an additional Owner will be added for the associated Company - the same one that was selected by the Sales Bot in the Deal.


Example 2

Company Called "Workshop" has one Owner. A deal has been opened for this company in a process that is covered by the Sales Bot rule.

Currently, the Owner of both the company and the sales opportunity is John Smith.


For the Deal, it was decided to add an additional Owner. This Owner will be selected within the active Sales Bot rule, with the option enabled within the rule to leave the Owner selected within the rule as the sole Owner for related objects (in this case, the Company).


The effect of this action will be to add an additional Owner selected by the Sales Bot rule to the Deal, and for the associated Company, the current Owners will be removed, and the currently active Owner will be the user who was selected by the Sales Bot rule as an additional Owner of the Deal.
