In Livespace, we have the option of distributing user permissions to objects. There are four possibilities by default, one of which is the Owner.

Deals and contacts can have their own Owner.

In the Growth and Professional+ packages, it is possible to expand access and assign multiple owners to a single object, these are so-called advanced settings which we described in a separate article.

Settings configuration

Configuration is available to the administrator from Account settings-> Permissions-> Access.

By default, you will find settings for author, member, owner and responsible.

Through the configurator, you decide what actions the Owner can perform within the selected object. These include, for example, the possibility of editing or exporting.

By default every contact and deal in Livespace has to have the owner. If you need to use contacts without a specific owner, the checkbox Required Role should be empty.

If you add a contact or a deal that requires an Owner, and you forget to assign one, you will receive an appropriate warning.

By default, in Livespace, each user can change the owner of deals or contacts. If you want to prevent all roles from changing and adding the owner set this in advanced settings.

The last section is the automatic change of owner.

Automatically remove inactive Owners

You can also specify the period of inactivity in the object, after which the Owner will be automatically removed. The existing Owner will receive notification of the change. You can set the automatic removal here:

This feature can be very useful when you plan to make it available for another person to take over inactive – overlooked or forgotten – contacts and deals. It gives you the confidence that such elements will not be left to themselves, which may lead to the abandonment of important activities and even alienate your clients from your business. What’s more, if you are a manager, this functionality always lets you know when someone in the company pays not enough attention to his or her duties

Important:

Email correspondence with the customer that synchronises with the contact is not included in the activity.

Owner on the object form

To assign owner to a new object, select the relevant user from the list of the Owner field.

Change the owner (single and mass)

In order to change the owner of object, enter the form through the editing option and select the appropriate user in the owner field. This person will become the new owner of the contact or the deal.

If you want to change the owner for multiple contacts or deals at the same time, use the List operations. First use the filters to obtain a list of the objects in which you wish to make a change, then, through the list operations, select them and change the user by selecting change user action.

Select role in the objects (in this case the Owner) and indicate the user you want to become the new owner of the selected objects.

Search for contacts and deals without an owner

Contacts and deals without an owner can be found on the list after using filtering: Owner filter, value No user.

Contacts and deals of the removed user

If you need to include in your lists or statistics contacts and deals that are owned by a user already removed from Livespace, you can enable the visibility of this data in acount settings-> users. Option Show deleted users on the lists filters is at the bottom of the page.
